Job Description

Oversee, implement and support the closing department processes and staff to ensure proper procedures are followed. Recommend hiring of personnel; provide for and ensure the training and development of the staff; review and evaluate job performance.

Job Duties and Responsibilities (Essential Job Functions) Common job activities are listed below; actual position responsibilities may vary. Refer to your manager or human resources for specific duties and performance expectations. In smaller offices title closer duties may apply and percentages may be adjusted.

  1. Ensure that professional and proper procedures are followed in the closing of the real estate and mortgage transactions. This includes proper accounting of escrow funds, reviewing lender packages, recording packages, and correction of all if necessary. Assign files as the branch receives them. Supervise and provide guidance to all staff members. (20-25%)
  2. Receive and respond to customers’ inquiries and complaints in a prompt and professional manner. Resolve issues that may arise resulting from closing or day-to-day operations. (10-15%)
  3. Attend sales meetings, real estate company events, company title meetings, company management meetings, and interact with lending and banking institutions. (5-10%)
  4. Monitor productivity of staff members to ensure customer service time needs are met. (5-10%)
  5. Conduct educational and informational meetings for the staff. Provide and oversee training for staff members. (5-10%)
  6. Provide management reports, including projection reports, indexing reports, payout reports and other designated reports pertaining to the branch, assist with preparation of annual budgets, manage activities consistent with financial targets. (5-10%)
  7. Perform annual evaluations and salary recommendations as needed. Track vacations and sick leave to ensure proper documentation. (0-5%)
  8. Perform any additional responsibilities as requested or assigned. (0-5%)

Qualifications

Education:

  • Bachelor’s degree in business administration or related field; or equivalent work experience.

Experience:

  • Two to five years title closing experience in real estate or mortgage closing area.
  • One to two years of management experience.

Knowledge and Skills:

  • Strong computer skills.
  • Effective oral and written communication skills, including presentation skills.
  • Effective interpersonal skills and leadership abilities. A customer service focus and the ability to work as a member in a team-oriented environment.
  • Project management skills; ability to prioritize and handle multiple tasks and projects concurrently under deadline pressure.
  • Able to occasionally work extra hours during peak times of the month.
  • High degree of integrity. Self-motivated, organized, detail oriented and possess a strong aptitude for figures. Must be able to work independently; be resourceful and action-oriented.
  • Effective analytical, problem-solving and decision-making skills.
